This Privacy Policy sets out the rules for the processing and protection of personal data provided by users of the www.delegate.pl website.
The Privacy Policy serves to help understand what data we collect, for what purpose, and how we use it.
GDPR – Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation);
Personal Data – information relating to you; means personal data within the meaning of Art. 4 of the GDPR, collected through the website and processed by Delegate IT sp. z o.o.;
Processing – operations performed by us on personal data such as collection, recording, storage, adaptation, alteration, disclosure, and erasure, especially those operations that streamline communication between us;
Website – the service available at www.delegate.pl;
What data do we collect and for what purpose?
We collect all data in two ways: 1. Information provided voluntarily by you (when sending correspondence, telephone calls, completing forms, or applying for a job):

When sending correspondence to us, including via e-mail, during a telephone call or in-person conversation, by completing a form on our website, or applying for an open job position:
a) General contact form
In the "CONTACT" tab of our Website there is a form through which you can contact us regarding the services we provide, by submitting: first and last name, e-mail address, telephone number, and optionally company/organization name. Data provided in this manner will be processed solely for the purpose for which it was made available to us, including preparing an offer or responding to an inquiry in accordance with the controller's legitimate interest, i.e., Art. 6(1)(f) of the GDPR.
If you grant your consent, your personal data provided in the contact form may also be processed pursuant to Art. 6(1)(a) of the GDPR for marketing products and services of Delegate IT sp. z o.o. and contacting you via e-mail, SMS, or telephone call. Providing the above consents is entirely voluntary. You may withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out prior to its withdrawal.
b) Training inquiry form (Delegate Academy)
Through the contact form, you can submit an expression of interest in training programs offered by Delegate IT. The form collects personal data including first and last name, e-mail address, and telephone number, as well as optional information regarding your company or organization. You may also provide additional details regarding training expectations, technological domains of interest, participant headcount, and scope of planned training.
Personal data is processed in order to handle the inquiry, prepare and present the training proposal, and conduct correspondence related to the submission in accordance with the legitimate interest of the controller, i.e., Art. 6(1)(f) of the GDPR.
c) Recruitment form
On our website, under the "CAREER" tab, current job openings are listed. Interested candidates can apply for the specified positions. Data obtained in this manner is used for recruitment purposes pursuant to Art. 6(1)(c) of the GDPR – fulfillment of a legal obligation incumbent on the controller – arising from Art. 22¹ of the Polish Labor Code of 26 June 1974; providing this data is necessary to participate in the recruitment process. Candidate personal data is also processed pursuant to Art. 6(1)(b) of the GDPR, i.e., taking steps at the request of the data subject prior to entering into a contract.
Furthermore, additional personal data not specified in statutory labor provisions (e.g., photograph, interests) is processed pursuant to Art. 6(1)(a) of the GDPR, i.e., on the basis of the candidate's voluntary consent.
We may also process candidate personal data contained in the application for the purpose of establishing, pursuing, or defending against legal claims (Art. 6(1)(f) of the GDPR). If consent is granted, we will also process your personal data for future recruitments in accordance with Art. 6(1)(a) of the GDPR.
d) Client and Partner Zone
Service clients who have signed an agreement with Delegate IT sp. z o.o. have the ability to register for the Client Portal. This is a dedicated portal for managing SLA service tickets, incident monitoring, and ongoing post-implementation IFS/ERP support.
The Portal also provides access to the Knowledge Base panel, where logged-in Clients can use shared materials, in particular knowledge bases, project documentation repositories, webinar recordings, and training materials related to offered services and solutions.
Access credentials obtained during registration/login are processed to deliver services offered within the portal pursuant to Art. 6(1)(b) of the GDPR, and upon consent pursuant to Art. 6(1)(a) of the GDPR to send current offers and marketing materials.
e) Whistleblower reports (Violations of law)
In connection with reporting violations of law, we process personal data such as: first name, last name, position, contact details (e-mail address, telephone number), and other details specified in the report. Personal data is processed to receive, verify, and investigate reports of legal violations and undertake follow-up actions.
The legal basis for processing this data is the fulfillment of legal obligations incumbent on the Controller under applicable laws, i.e., pursuant to Art. 6(1)(c) of the GDPR in connection with the Polish Whistleblower Protection Act of 14 June 2024 (Journal of Laws of 2024, item 928).
2. Information obtained during website use
a) Server log information. Our servers automatically record information related to website use, such as date and time of visit, IP address, browser type and version, operating system, language preferences, device type, and visited page paths.
b) IP address. When using the website, the user's IP address is processed. This data is used to ensure proper website functionality, maintain IT system security, diagnose technical issues, and compile usage statistics.
c) Cookies. Cookies are small text files stored on the user's device when using the website. They are used, among others, to ensure proper service operation, remember user preferences, conduct statistical analysis, and customize content to user needs.
Google Analytics 4 cookies (subject to consent) Upon granting consent by clicking the "Accept all" button in the cookie banner displayed in the lower-left corner of the page, the website utilizes Google Analytics 4 cookies. This tool collects information about website usage, in particular visit counts, visited pages, session duration, and traffic sources. Collected data is used exclusively for analytical, statistical, and website optimization purposes. Users may at any time change their cookie preferences or withdraw previously granted consent for analytics cookies. Withdrawal of consent does not affect the lawfulness of processing carried out prior to its withdrawal.
Who will your data be shared with?
Personal data may be disclosed to persons authorized by Delegate IT sp. z o.o., entities providing services to the Company, including technical and organizational services, electronic mail hosting services, as well as other authorities to the extent and on terms specified by law.
If consent is granted for the use of analytical cookies by clicking the "Accept all" button in the cookie banner displayed on the website, the controller uses the Google Analytics 4 tool, provided by Google Ireland Limited. In connection with using this tool, data concerning user activity on the website may be transferred outside the European Economic Area, in particular to the United States. Data transfer takes place with appropriate safeguards required by GDPR regulations, in particular under European Commission adequacy decisions or other legal mechanisms provided by personal data protection laws.
How long will we process your data?
a) Personal data provided in connection with recruitment will be processed until the completion of the recruitment process for the given position, but no longer than 6 months from the date of receipt. If consent is granted for future recruitments, data will be processed for 12 months or until consent is withdrawn.
b) Personal data processed for handling an offer inquiry will be stored for the period necessary to conduct correspondence and process the request.
c) Personal data processed on the basis of consent for marketing purposes will be processed until consent is withdrawn.
d) Data related to a user account on the Website will be processed for the duration of having the account or agreement validity, and thereafter for the period necessary to comply with legal obligations and pursue or defend claims.
e) Personal data related to whistleblower reports will be stored for 3 years following the end of the calendar year in which follow-up actions related to the report were concluded.
f) Data processed for archiving purposes and related to the establishment, exercise, or defense of legal claims will be stored for the period arising from applicable laws or until the statute of limitations expires.
After the specified periods, personal data will be deleted or anonymized, unless further storage is required by applicable laws.
What rights do you have?
In connection with the processing of personal data, you have the right to: 1. access your data and obtain a copy; 2. rectify (correct) inaccurate or incomplete data; 3. erase data ("right to be forgotten"); 4. restrict the processing of personal data; 5. object to data processing; 6. data portability; 7. withdraw consent at any time, if processing is based on consent, provided that withdrawal of consent does not affect the lawfulness of earlier processing; 8. lodge a complaint with a supervisory authority (President of the Personal Data Protection Office).
The above rights apply to the extent and on terms set out in GDPR provisions.

We respond promptly, and no later than one month after receiving the request. In complex cases, this deadline may be extended by an additional two months, of which we will inform you before the end of the first month.
How do we use cookies?
The Website utilizes essential cookies and browser local storage mechanisms (localStorage) required for the website's proper functioning, security, and remembering user preferences, including cookie consent choices. This data is processed based on the Controller's legitimate interest.
Upon granting consent by clicking the "Accept all" button in the cookie banner displayed in the lower-left corner of the website, analytical Google Analytics 4 cookies are also used to compile statistics and analyze website traffic.
Users may at any time withdraw consent or change cookie preferences by clicking the cookie widget in the lower-left corner of the website or by modifying settings in their web browser.

We implement appropriate technical and organizational measures to ensure personal data protection, including data transmission encryption (SSL/TLS), network security, access control mechanisms, and procedures restricting data access strictly to authorized personnel and entities entitled to process it.
